Draft for legal review · November 2026

Terms of service

Draft for legal review. Text in [square brackets] still needs a decision or a fact from us. Until it is final, these terms are not binding.

1. About these terms

These terms are an agreement between you and Beatro, Langelinie 14, 6520 Toftlund, Denmark, CVR 27681816 (“Beatro Cloud”, “we”). They apply when you create an account or use Beatro Cloud. If you use Beatro Cloud for an organisation, you confirm that you may accept these terms for it. Our privacy policy explains how we handle personal data.

If you are a consumer, nothing in these terms takes away the rights the law gives you.

2. Your account

You need to be at least 16 to create an account. Give us accurate details and keep your password and authenticator to yourself. Owners and admins must use two-step sign-in. If you think someone else has got into your account, tell us straight away through the contact form.

A workspace’s owners decide who can join it and what each person can do. Owners are responsible for the people they invite and for what those people do in the workspace.

3. Your files

You keep every right you have in what you upload. You give us permission to do only what’s needed to run Beatro Cloud for you: store your files and copies of them, make previews, keep versions, and show or send them to the people you choose. That permission ends when the files are deleted from our systems.

We don’t use your files to train AI models, we don’t let anyone else do it, and we don’t sell them or anything in them.

You’re responsible for having the right to upload and share what you store. We keep a backup copy of your files with a second provider, but for work you can’t replace, we still recommend keeping a copy of your own somewhere else. That’s good practice with any service.

4. Sharing

Share links let people outside your workspace view, download and comment on what you choose. Anyone with the link can open it, so share it carefully. Add a password, an end date or a download limit when that helps. You can turn a link off at any time.

Share links are for working with clients and collaborators. They are not for public mass distribution, and you shouldn’t use them to host files for a website or app. If a link causes unusual traffic, we may limit it and will tell you why.

5. What you mustn’t do

6. Reports and how we act on them

Anyone can report content they believe is illegal, using the contact form (choose “Report illegal content”) or the report option on a share page. Include the link and explain why. We review reports promptly and fairly, and we confirm when we have received one.

If we restrict content or an account, we tell the person affected what we did and why, unless the law or an ongoing investigation prevents it. They can ask us to review the decision through the contact form. Where the law allows, they can also use an out-of-court dispute settlement body or go to court. We suspend accounts that repeatedly share clearly illegal content.

Our point of contact for authorities and for users under the EU Digital Services Act is the contact form. We answer in English [and other languages].

7. Plans, payment and space

Plans differ by storage space. Everything you keep counts toward your space: each file, each older version and anything in the trash. Items in the trash are deleted for good after 30 days. Emptying the trash sooner or deleting older versions frees that space. Prices are shown in euros and include VAT for customers in the EU.

Plans renew automatically every month or year until you cancel. You can move to a bigger plan at any time, and the change applies immediately. A smaller plan applies from your next renewal, if your files fit. [Lawyer: confirm the renewal reminder wording and pro rata rules.]

If you go over your space, for example after moving to a smaller plan, new uploads stop, but nothing already stored is touched. If a payment fails, we email you and try again for [14] days. After that, the workspace becomes read only: you can still view and download everything, but you can’t upload. If the account is still unpaid after [X] more days, we may close it, after telling you by email at least [14] days in advance.

We may change prices. We’ll tell you at least 30 days before a change affects you, and you can cancel before it does.

8. Right of withdrawal (consumers in the EU)

As a consumer, you can withdraw from a new paid plan within 14 days without giving a reason. If you ask us to start the plan straight away, and you use it during those 14 days, we refund the price minus the part for the days you used. [Lawyer: confirm wording, and the acknowledgement needed at checkout.]

9. Cancelling and leaving

You can cancel at any time in your account. Your plan runs until the end of the period you’ve paid for. You can download everything in your workspace at any time, as ZIP files with a checksum for every file.

When you close your account, workspaces you are the only owner of become read only straight away. You then have [30] days to download your files, and you can change your mind during that time. After that we delete the files and your account, and they disappear from our backups within [30] days. Workspaces that have another owner carry on without you.

We may end our agreement with you with [30] days’ notice, or straight away if you seriously or repeatedly break these terms. If we end it without a breach on your part, we refund any unused prepaid period.

10. Availability and changes to the service

We work to keep Beatro Cloud running and your files safe, but we can’t promise it will always be available or free of errors. We sometimes need maintenance, and we’ll try to do it at quiet times. We may improve or change features. If we remove something important you pay for, we’ll tell you in advance, and you can cancel and get back any unused prepaid amount.

11. Liability

[Lawyer: liability clause. Draft intent below.] We are responsible for damage we cause through intent or gross negligence, for death or personal injury, and wherever the law doesn’t allow a limit. Otherwise, for business customers, our total liability in any 12 months is limited to what you paid us in that period, and we are not liable for indirect losses such as lost profit. For consumers, we are liable for foreseeable damage caused by our breach of these terms.

12. Changes to these terms

If we change these terms in a way that matters, we’ll email you at least 30 days before the change applies. If you don’t agree, you can cancel before then, and we’ll refund any unused prepaid amount.

13. Law and disputes

These terms are governed by the law of Denmark. If you are a consumer, you also keep the protection of the law of the country where you live, and you can bring a claim there. Please contact us first. Most problems are quicker to solve directly.
